# Availability

> Set your working hours, control how far ahead clients can book, and manage your schedule.

Clients can only book times you've opened. Set them under **Availability** in your workspace.

## Weekly hours

One row per day. Turn a day on, then add one or more blocks of hours to it. Each block can carry a location label — **Telehealth**, or the name of the rooms you're in that day — so a client booking Tuesday afternoon knows where to turn up.

A typical week:

| Monday           | 9:00–13:00, 14:00–18:00 |
| Tuesday          | 10:00–17:00             |
| Wednesday        | 9:00–14:00              |
| Thursday         | 11:00–19:00             |
| Friday           | 9:00–15:00              |
| Saturday, Sunday | Off                     |

<Tip>
  Split blocks rather than opening a single long day. A gap at lunch that exists in your calendar is
  better than one you have to defend by declining a booking.

## Booking rules

Three settings control how bookings land:

| Rule                        | What it does                                           |
| --------------------------- | ------------------------------------------------------ |
| **Minimum notice**          | The soonest a client can book a slot starting from now |
| **Booking horizon**         | How far ahead your calendar is open                    |
| **Buffer between sessions** | Held automatically after every appointment, for notes  |

<Note>
  A buffer is the cheapest protection against a day that runs over. Ten minutes after each session
  turns six back-to-back appointments into a day you can actually write notes in.

## Other controls

| Setting                               | Effect                                       |
| ------------------------------------- | -------------------------------------------- |
| **Auto-accept bookings**              | Bookings confirm without your approval       |
| **List in directory**                 | Whether you appear in search and matching    |
| **Offer freed slots to the waitlist** | A cancellation is offered to waiting clients |
| **Taking new clients**                | Shown on your profile                        |

<Tip>
  Turning off **Taking new clients** is better than going unlisted when you're full. You stay visible
  to existing clients and keep your place in the directory, and you're not starting from zero when
  you reopen.

## Your schedule

**Schedule** shows the week as a grid with three kinds of block:

| Block       | Meaning                                                               |
| ----------- | --------------------------------------------------------------------- |
| **Session** | A booked appointment, with its mode — online, in person or home visit |
| **Admin**   | Time you've held for notes, correspondence or supervision             |
| **Blocked** | Not available                                                         |

Your waitlist sits alongside it.

## Timezones

Times are displayed in Australian Eastern time. If you practise in another state, allow for the offset when setting hours, and confirm the time in writing with a client in a different zone.

## Cancellation policy

Your cancellation policy is set on this screen too, and it's the one setting here you should not leave until later.

  A session booked before you've chosen a policy carries **no cancellation fee at all** — not for a
  late cancellation and not for a no-show. A fee nobody chose isn't one we'll collect on your behalf.
